Load-In to Load-Out: The 48 Hours Around a Show

Audiences experience a concert as three hours. Producers experience it as forty-eight. The show is the visible tip of a two-day operation that begins when the first truck arrives and ends when the venue is handed back swept and signed off. Across close to thirty productions since 2023, at venues as different as KTPO Whitefield, NICE Grounds, The Leela Palace Bengaluru and Lakeside at Orion Mall, Kalaluha has learned that the 48 hours around a show have their own rhythm, and respecting that rhythm is most of the job.

Day minus one: build and verify

Load-in day is about sequence. Staging and set engineering come first, because everything else hangs off the stage. Then power distribution, because sound and lights are decorative until they are fed. Then rigging, LED walls and screens, then audio, then lights, then the long patient business of testing all of it. Our large format production work covers stage and set engineering, LED walls and broadcast, power, crew and site logistics, and safety, permissions and clearances, and load-in day is where every one of those lines becomes physical.

Venue character decides everything. Lakeside at Orion Mall, where we staged Padma Shri Kailash Kher and Band Kailasa in October 2023, is an open-air lakeside space at a working mall: load-in routes share space with shoppers, and weather is a stakeholder. NICE Grounds, where Hiphop Tamizha played the Home Edition, is a large open ground where distances are long and everything needs transport planning. A convention centre like KTPO gives you controlled conditions but fixed access points and house rules. We write the load-in schedule for the venue we actually have, not the venue the rider imagines.

Show day: the clock owns everyone

Show day morning belongs to checks: line checks, LED content playback, barricade walks, signage, the artist corridor walked end to end. Afternoon belongs to soundcheck, and soundcheck belongs to the artist's team, so everything else must already be done. Then doors, and the production goes from building a show to running one.

Some shows carry a clock that cannot slip. Our ISKCON Sri Krishna Janmashtami productions at KTPO are built around midnight arati: the ritual timing is fixed by the festival itself, and the entire run order, culturals, chants and artist sets, is engineered backwards from moments that will not move. A film awards night can run twenty minutes late. Janmashtami midnight cannot.

Load-out: the discipline nobody applauds

The show ends, the crowd leaves, and the most dangerous hours begin. Crews are tired, it is late, and heavy equipment is moving in the dark. We treat load-out as a planned operation with its own supervisor, its own sequence, and its own safety walk, not as show day's untidy afterthought. Trucks are called in order, not all at once. The venue walk-through with the venue team happens before the last vehicle leaves, because disputes about damage are cheap to settle at 3 am with everyone present and expensive to settle by email a week later.

The empty stage, twice

Our slogan says every unforgettable night begins with an empty stage. The 48 hours are the full version of that sentence: the stage is empty on day minus one, and it is empty again when load-out finishes. Everything between those two empty stages, the sold-out roar at a Shreya Ghoshal night or thousands of devotees at KTPO, exists because the unglamorous hours were done properly.
